Event Desk

Run a business event, from a client summit to a team offsite or a launch party. An event planner compares the venues, keeps every vendor with its contract and deposits, tracks RSVPs and dietary needs, holds the run of show, and shows the budget against what is signed.

What’s inside

The crew

Plans it follows

  • Run of ShowWrite the day-of run of show for a business event from the event desk: a timeline from vendor load-in to close with who is on point for each item, every vendor's arrival and contact, the catering count by dietary need, the contingencies, and the open items still to confirm.
  • Design the InvitationsProduce the invitation the day deserves and get the facts beyond doubt: the date, time, venue, and RSVP instructions checked letter-for-letter against the event record — because a beautiful card with the wrong date is the classic disaster.
  • Option Comparison MatrixCompare a set of options against weighted criteria and ship an interactive HTML comparison matrix with a recommendation: a planner locks the options, the criteria, and their weights, a researcher fills every cell with an evidence-backed value, and a developer builds a single-file HTML page with a sortable/filterable comparison table and a scored recommendation.

Actions the crew can take

  • Event statusThe whole event in one read, with ids: date and days to go, RSVPs, every guest still owing a dietary answer, deposits still to pay, the budget against signed contracts, vendors, venues and the run of show.
  • Compare venuesCompare the shortlisted venues for a headcount: which hold it, the hire fee, catering, sound and screens, and the cost per guest.
  • Add venueSave a venue to the shortlist: name, how many it holds, the hire fee in dollars, in-house catering per guest (leave it out when you bring your own caterer), whether sound and screens are included, and where it is.
  • Book venueBook a venue: it becomes the event's venue, its hire fee joins the signed contracts, and a venue booked before is released.
  • Add vendorSave a vendor (caterer, sound and screens, entertainment, photographer, rentals): its total in dollars, deposit and when it is due, the contact and when they arrive on the day.
  • Record paymentRecord money paid to a vendor, in dollars, as a deposit or the balance, with any reference exactly as given.
  • Add guestAdd a guest to the invite list: name, company, RSVP and dietary needs.
  • Record rsvpRecord a guest's answer: yes or no, and what they can't eat (or 'none').

And 3 more.
